7 Questions to Qualify Leads on the First Call

The seven questions that separate ready-to-buy callers from tire-kickers, with example wording for home services, med spas, law firms and real estate.

A good first call does two jobs: it makes the caller feel helped, and it tells you whether this is a lead worth your team’s time. Whether a person or an AI agent answers your phone, these seven questions do most of the work. Keep them conversational; it’s a chat, not an interrogation.

1. “What can we help you with today?”

Open-ended on purpose. Let the caller describe the need in their own words, then confirm it back. Write down their wording; it’s gold for your follow-up and your marketing.

2. “Where is the job / where are you located?”

Rules out callers outside your service area in five seconds, and tells you which team or office should take it.

Home services: “What’s the address or ZIP code for the job?” Real estate: “Which neighborhoods are you looking in?”

3. “When are you hoping to get this done?”

Timeline is the strongest single signal of intent. “Today” and “this week” go to the top of the list; “sometime next year” goes into a nurture sequence.

4. “Have you worked with anyone on this before?”

Tells you whether they’re comparing quotes, unhappy with a current provider, or brand new to the category, and each needs a different conversation.

Law firms: “Have you spoken with another attorney about this matter?”

5. “Do you have a budget range in mind?”

Ask it lightly and offer ranges if they hesitate. You’re not negotiating, you’re making sure the job fits. If you publish typical price ranges, share them here.

Med spas: “Treatments range quite a bit. Do you have a range you’re comfortable with?”

6. “Who else is involved in the decision?”

A spouse, a business partner, a landlord. Knowing this up front means you invite the right people to the appointment instead of rescheduling later.

7. “What’s the best way and time to reach you?”

Capture the phone number and email, confirm spelling, and ask whether they prefer a call or text. Then, if they’re a fit, book the next step right there instead of promising a callback.

Turn the answers into action

Qualification only pays off if the answers go somewhere. Score each call simply:

  • Hot: in your area, needs it soon, budget fits. Book now and alert the team.
  • Warm: a fit, but later. Add to your CRM with a follow-up task.
  • Not a fit: thank them, and if you can, point them somewhere helpful.

This is exactly the kind of script an AI voice agent follows well: the same questions on every call, answers captured word for word, and hot leads booked and flagged in your CRM automatically. If you’d like to hear it in action, book a free demo.
